Information for Presenters
Oral Presentations
Presentation Upload
Speakers are requested to upload their presentation files to the this folder in the respective subfolder, following the instructions below, or submit them to the technical staff at the registration desk preferably latest on the day before their presentation.
- If you have animations, you can check if they run correctly with the technician in charge of the audio/video (in the projection booth).
The link above allows you to see the contents of the folder and upload, but does not allow for deletion.
Accepted formats:
- PowerPoint
- Keynote
File naming: S<session number>_<name> (e.g. S0000_Hohenegger.pptx)
Timing
Unless otherwise indicated by session chairs:
- Keynote presentations: 25 min + 5 min Q&A
- Invited and contributed presentations: 12 min + 3 min Q&A
Equipment
Use of the conference venue system is preferred. Personal laptops may be used in exceptional cases if compatible connectors are available.
Information for Poster Presenters
Poster Format
Recommended poster size:
DIN-A0 portrait (841 × 1189 mm)
Alternative comparable formats may be accepted provided they have portrait orientation.
Mounting
Poster boards and mounting materials will be provided by the organizers. Support for mounting the poster will also be provided. Should the presenters wish to mount the posters themselves, they should do so during the designated setup period.

Removal

Any posters remaining after the removal deadline will be dismounted and found at the registration desk.
Poster Sessions
The final layout of the poster room will be available during the week before the summit. Current draft is available on the Program page.
Authors are expected to be present at their posters during the scheduled poster sessions to discuss their work with participants.
As a teaser, we would like to display the posters on the screens in the venue foyer throughout the day (each available poster would be displayed for 2-3 min). If you’d like to join this idea, please upload your poster, in PDF format, to this folder.
Leading to the Summit
Travel to Hamburg
By Air
Hamburg Airport (HAM) offers direct connections to many European and international destinations.
From the airport, the city centre can be reached by S-Bahn in approximately 25–30 minutes.
By Train
Hamburg Hauptbahnhof (Central Station) is served by Deutsche Bahn long-distance and regional services.
The venue can be reached from the station by public transport or taxi.
Public Transport
Hamburg has an extensive public transport network consisting of:

- S-Bahn
- Buses
- Ferries

Taxi and Ride Services
Taxis are readily available throughout Hamburg and at major transport hubs.
Accommodation
Participants are responsible for arranging their own accommodation.

As July is a busy travel period in Hamburg, early booking is strongly recommended. Contact us if you have trouble securing accommodation.

Eduroam is available on the site. For those without an account, WiFi access will be made available, details will be found at the registration desk.
During the Summit and/or Your Stay
Registration Desk
Location: As you enter the hall, to the left. Queues will be formed based on last-name alphabetical order.
Opening Hours: There will be someone manning the registration desk for most of the time.
Participants are encouraged to collect their badges as early as possible.

The presentations of the summit will be streamed via zoom, but the event will remain in-person only, i.e. no interaction with zoom attendees:

Networking and Community Activities
The summit is designed to foster interaction across the international km-scale modelling community.
Participants will have opportunities to engage in:
- Scientific discussions and networking
- Community planning activities
- Development of new collaborations
Flipcharts will be available during the Summit to support structuring ideas.
Should you want to have a small meeting with a few collaborators, contact us in advance so that we could find a suitable location for you.
Additional community activities will be announced during the meeting.
Computing and Connectivity
Given the technical focus of the summit, participants are encouraged to bring laptops for collaborative discussions and demonstrations.
Power outlets (type F, 220V) will be available in meeting areas where possible.
Weather
July in Hamburg is typically mild and pleasant.
Typical conditions:
- Daytime temperatures: 20–25 °C
- Evening temperatures: 14–18 °C
Nonetheless, rain in Hamburg is to be expected. Participants are advised to bring clothing suitable for variable weather conditions.
Update 15 Jul: Scattered showers around 17–19 July and again near 22 July, otherwise a mix of sunshine and clouds. Max temperatures between 20-24C, min temperatures as low as 12C.
What to do in Hamburg
Suggestions:
- Walk towards the city center - it takes 20 min to reach the Rathaus (City Hall)
- Go for a stroll along the port on the Elbe (maybe with a Fischbrötchen?) - 25 min walk from the venue to the Promenade
- Attend a concert with lights and music in the Planten un Blomen park, under 10 min to reach the location from the venue:
- the concerts start at 22:00. For the week of the summit the program says “New Sounds; Arr. Hector González Pino”
- If you are into amusement parks, the Hamburg DOM opens Friday, 24 July
- Spend time at the Elbstrand
- Go on a Kayak/SUP ride on the canals and Alster
- Sail on the Elbe river starting in Wedel (depending on weather)
- Wakeboarding on a small lake in Pinneberg (also nice for just a drink in the sun, with feet in water)
- bike excursion to Dove Elbe and swim
- visit the revamped Hamburg Bunker, then go to UnderDocks
- Mudflat hike to Neuwerk (may require an early departure, approx. 7:00 from Hamburg)
- Low tide:

- Start walking from Cuxhaven / Sahlenburg 2–3 hours before low tide (bus stop: “Am Sahlenburger Strand, Cuxhaven”)
- Approx. 3-hour walk to Neuwerk
- Bring beach socks or water shoes (there may be sharp shells)
- Return options:
- Walk back or take a horse-drawn mudflat wagon the next day, with an overnight stay
- Or take the MS Flipper ferry back the same evening
- Low tide:
- visit Wilhelmsburg and have a beer at Wildwuchs
Make sure to ask the locals for other suggestions of things to do or places to see :)

The abstracts will be made available shortly after the summit.
Recordings
The recordings of the streamed presentations will be made available as soon as possible during the event and in the week following it.
Participation confirmation
Letters of participation confirmation can be provided upon request.
Misc
Insurance and Liability
Participants are responsible for arranging appropriate travel, health, and cancellation insurance.
The organizers cannot accept liability for personal accidents, loss, or damage to private property during the summit.
